The real cost of running on spreadsheets and WhatsApp
It's not the tools. It's that sales, ops and marketing each end up with a different version of the truth.
11 March 2026
Every growing company we work with has a moment where the spreadsheet stops scaling. Leads live in one sheet, follow-ups in a WhatsApp group, inventory in a third file that only one person edits. Nothing is wrong, exactly — it's just that no two people can agree on the current number.
Where it actually hurts
- Follow-ups slip because the reminder lived in a chat that scrolled away.
- A lead gets worked by two salespeople because assignment was informal.
- The month-end number takes three days to produce and still gets disputed.
- New hires take weeks to learn 'how we track things' because it's tribal knowledge, not a system.
What the fix looks like
For Dholera Pratham we built the operating system around the business, not just a website: an admin console for leads, properties and approvals; a mobile app the field sales team runs on with follow-up badges; and a desktop app for the money side of each project, with funding logic that won't let an allocation exceed the payment it draws from.
The point isn't more software. It's one place where the current number lives, and everyone reads from it.
